How to Write a Newsletter that Satisfies!

If you know how to write a newsletter to get the best response, you will be able to maximize all of the hard work you put into creating your list. You have to compose your newsletter properly, have it look professional, and have great content. Here are some guidelines to follow in order to get the best response from your list of subscribers.

The FROM line

This is the first thing that your readers will see. Your goal is for them to immediately recognize that this is the newsletter they signed up for so they do not delete it. You should use an email address that is linked with your newsletter or website so that it is easily recognizable.

The SUBJECT line

You need to put some reason for opening the message in the subject line. Include some benefit to the reader that they cannot live without. You can include special savings, a free product or a free report of some kind. You should also include your company name for recognition. Something like "Special report from ABC Company..." or "Exclusive savings from ABC Company..."

Use time dependent phrases to create a sense of urgency. The famous "For a limited time only..." is what you should be envisioning here. You should try to convey to the reader that they will be missing out on something if they do not open the message.

Do not put all caps or excessive punctuation - like 20 exclamation points - in the subject line. This is very unprofessional. Also, try to keep your subject line to 50 characters or less for standard viewing.

Now we can get to how to write a newsletter! Of course, you should always fill your newsletter with content that is useful to your subscribers and not just bombard them with sales pitch after sales pitch.

Also, your subscribers do not want to wait minutes for your newsletter to download so if you include photos in your newsletter, you should make them as small as possible so they will download quickly.

If your newsletter schedule is not written in stone, you may want to consider sending a shorter newsletter more often than a longer newsletter less often. People just don't want to sit and read an extensive newsletter, but will take time to read one that is concise and full of useful information. You will find the shorter newsletter gets a better response.

To shorten your newsletter, but still provide lots of good content, you may want to consider putting in teasers for larger articles that you post on your website. Just put a link in your text that says something like "full content" that will show the full article when folks click.

Of course, you don't want to become a "spammer", so you should abide by all of laws of emailing by adhering to the following (you are legally required to do these things):

  • You must include your company's street address and phone number in your emails.
  • You have to have an unsubscribe link or an unsubscribe email address in every email.
  • You must post your privacy policy and have a link to it from your emails.
  • You must never share any of your lists without consent from those on it.
